Why We Built TextGate

Every institution we’ve worked with shares a common pain point: they’re drowning in documents. Regulatory submissions arrive by the hundreds. Contracts pile up waiting for review. Correspondence flows in across email, post, and web forms — with no structured way to classify, route, or track any of it.

The typical response is more people. More admin staff sorting through inboxes, more legal assistants highlighting clauses, more coordinators manually routing enquiries to the right department. It works — until it doesn’t. Deadlines get missed, documents get lost, and when auditors come knocking, no one can reconstruct a reliable paper trail.

TextGate is our answer to this problem. It’s an intelligent document processing and communication platform built from the ground up for institutions that need to handle text-heavy workflows at scale — with the governance, traceability, and compliance controls that regulated environments demand.

What TextGate Does

At its core, TextGate transforms unstructured documents into structured, actionable data. But it does much more than simple text extraction. The platform covers the full lifecycle of institutional document management:

Document Ingestion

TextGate accepts documents in virtually any format — PDFs, scanned images, emails, Word documents, and web form submissions. Built-in OCR handles scanned and image-based documents, while the parsing engine extracts structure from digital documents automatically. Every document that enters the system is classified, timestamped, and assigned a unique reference for full traceability.

Intelligent Extraction

This is where TextGate’s AI capabilities come in. The platform uses natural language processing to extract key data points from unstructured text:

  • Entity recognition — identifying names, organisations, dates, reference numbers, and monetary values within documents
  • Clause extraction — pulling out key terms, obligations, and conditions from contracts and legal documents
  • Classification — automatically categorising documents by type, urgency, subject matter, and required action
  • Sentiment and intent analysis — understanding whether correspondence is a complaint, enquiry, submission, or escalation

The extraction models are configurable per institution, meaning TextGate learns the specific document types, terminology, and classification schemes that matter to your organisation — not generic categories that don’t map to your reality.

Communication Routing

Once documents are classified and key data is extracted, TextGate routes them automatically. Routing rules can be based on document type, content classification, urgency level, geographic origin, or any combination of extracted metadata.

For example, a regulatory submission flagged as urgent and relating to a specific licence category can be automatically routed to the correct compliance officer, with the relevant extracted data pre-populated into their review queue. No manual sorting, no forwarding chains, no lost emails.

Template Management

Institutional communication needs to be consistent, compliant, and auditable. TextGate includes a full template management system with:

  • Variable substitution — merge fields that pull from extracted data, case records, or institutional databases
  • Approval workflows — multi-level sign-off before communications are dispatched
  • Version control — every template change is tracked, with full history and rollback capability
  • Multi-channel output — generate communications for email, SMS, print, or portal delivery from a single template

Document Repository

Every document that passes through TextGate is stored in a structured repository with rich metadata tagging, full-text search, configurable retention policies, and compliance-ready archival. The repository is designed for institutional record-keeping requirements — not just file storage.

Analytics and Operational Insight

TextGate provides real-time dashboards showing processing volumes, response times, routing efficiency, and content trends. This gives operations managers and compliance teams visibility into how documents flow through the institution — and where bottlenecks or risks are emerging.
